Mobile App Privacy Policy

This Privacy Policy explains how Dane Street, LLC (“we,” “us,” or “our”) collects, uses, and shares information when you use the Dane Street mobile application (the “App”). This policy does not cover our website.

II. Scope

This policy includes information about and the process for the collection of mobile application user data.

What We Collect

  • Information you provide: name, email, account details; content you submit in the App (e.g., responses, templates, messages, form inputs).
  • Documents you access: the App retrieves documents using time-limited links and renders them on your device.
  • Dictation (optional): If you enable dictation, the App records your voice to create a text transcript. Audio is used only to provide this feature; the transcript may be saved with your responses.
  • Device/usage data: device type/OS, app version, approximate IP-based information, activity logs, and limited diagnostics for security and troubleshooting.
  • Notifications: a device token so we can send you push notifications (you can turn these off in device settings).

III. Policy

A. Sensitive Information

Your content (documents, transcripts, messages, answers) may include health or other sensitive information if you choose to provide it. We apply heightened safeguards and obtain consent where required by law. You may discontinue use of the App if you do not wish to provide this information if requested to do so.

B. How We Use Information

  • Provide core App features (account, document viewing, dictation, messaging, notifications).
  • Operate, support, and improve the performance of medical review services in accordance with applicable law and regulation, including HIPAA.
  • Maintain safety, prevent misuse, improve the application, and troubleshoot issues.
  • Communicate about the App and respond to support requests.
  • Comply with legal obligations and enforce our terms.

C. Advertising and Sale of Personal Information

Dane Street does not use your data for targeted advertising and does not sell your personal information. Dane Street does not sell personal information or share it for cross-context behavioral advertising.

D. How We Share Information

  • Service providers: We use trusted vendors to host and operate the App under contracts limiting their use of your data to our instructions.
  • At your direction: When features you use require sharing.
  • Legal/safety: To comply with the law or protect rights and safety.
  • Business transfers: As part of a merger, acquisition, or asset transfer.

IV. Procedure

A. Your Choices

  • Dictation: This is an optional feature, controlled by you.
  • Notifications: Manage in device settings.
  • Account/profile: Certain details may be updated in-App.
  • Data rights: Depending on your local and state laws, you may have rights to access, correct, delete, or obtain a copy of your information, object or restrict certain processing, and withdraw consent where applicable. Contact privacy@danestreet.com to exercise these rights, if applicable. Dane Street may need to verify your identity.

B. Data Retention

Dane Street keeps information only as long as necessary to provide the App, meet legal requirements, resolve disputes, and enforce our agreements. When no longer needed, we delete or de-identify information per our retention policies.

C. Security

Dane Street uses administrative, technical, and physical safeguards appropriate to the sensitivity of the information we process. No system is perfectly secure; please use strong, unique passwords and keep them confidential.

D. Children’s Privacy

The App is not intended for use by nor directed toward children under 13 (or the age required by local law). If you believe a child provided personal information, contact us and we will take appropriate steps to delete it.

E. Region-Specific Disclosures

California: You may have rights to know, correct, delete, and to opt out of sale/sharing (we do not sell or share for targeted advertising). We do not discriminate for exercising your rights.

F. Changes to This Policy

We may update this Policy. We will post updates and revise the effective date. If changes materially affect your rights, we will provide additional notice where required.

H. App Store Disclosures (Summary)

  • Optional permissions: microphone and speech recognition (for dictation), notifications. Manage in device settings.

  • Audio handling:

    • Audio for dictation is used to create text when you choose to record.
    • Dane Street does not retain it beyond what’s necessary to provide the feature.

  • Data deletion:

    • Please email requests to privacy@danestreet.com.
    • Requests will be honored to the extent possible and are subject to legal obligations.
